Job Description
Looking for a professional office position where you can get to know clients, work with a close-knit team, and have Friday afternoons free? Prout Financial Design is looking for a Client Services & Administrative Coordinator to join our Traverse City office. You do not need a background in financial planning. We are looking for someone who enjoys working with people, stays organized, communicates well, and is interested in learning. You will often be the first person our clients speak with or see when they visit the office. Your work will help clients feel welcomed and help our team stay organized and prepared. What Your Day May Look Like No two days will be exactly the same. You may start the morning preparing for client appointments, greeting visitors, answering calls, and coordinating advisor calendars. Later in the day, you might prepare materials for an upcoming meeting, organize documents, help with a client event, or assist with a newsletter or social media scheduling. You will work closely with our advisors and administrative team, so this role is a good fit for someone who enjoys both independent responsibilities and being part of a team. What You'll Do Welcome clients and visitors and provide a friendly, professional experience Answer calls, assist with routine questions, take accurate messages, and connect clients with the appropriate team member Coordinate advisor calendars, client appointments, meetings, and office schedules Prepare correspondence, meeting materials, client documents, mailings, and other administrative materials Keep electronic and paper records organized and help manage day-to-day office needs Assist with client events, seminars, newsletters, marketing projects, and social media scheduling You May Be a Good Fit If You Present yourself professionally and understand the importance of discretion, courtesy, and good judgment in a client-focused office. Enjoy helping people and interacting with clients throughout the day Are organized and notice details Communicate professionally by phone, email, and in person Can manage several responsibilities without losing track of what needs to be done Are comfortable learning new technology and office systems Want to learn more about financial planning and the work we do with clients Previous office experience is helpful, but financial-services experience is not required. Experience in banking, insurance, healthcare, hospitality, customer service, professional services, or another client-focused environment may also prepare you well for this position. You should be comfortable using Microsoft Office, Outlook, email, calendars, internet-based systems, and general office technology.
