Position Overview:
The Administrative Assistant plays a key role in ensuring the smooth and efficient operation of the firm. This position is responsible for supporting general office administration, delivering exceptional client service, and maintaining a professional office environment. Administrative Assistant Duties & Responsibilities- Open and close the office, ensuring all common areas—including the supply cabinet, filing cabinets, conference rooms, and kitchen—are kept neat and professional.
- Answer, screen, and transfer phone calls; take messages as appropriate. Initiate and respond to client service calls.
- Process daily mail, including opening, distributing, scanning, filing, and managing all shipping and deliveries.
- Check custodian alerts daily and take appropriate action, process client transactions, and perform ongoing client account maintenance.
- Maintain accurate CRM records and documentation.
- Provide support to Advisors and Client Service Associates, such as preparing for client meetings, generating reports, processing paperwork, and managing electronic files as needed.
- Prepare conference rooms for client and prospect meetings, greet guests, and provide refreshments as needed.
- Coordinate and support meetings, staff lunches, employee events, and client ambassador activities, including event planning and sending gifts or cards for special occasions.
- Troubleshoot and resolve office equipment issues.
- Monitor and replenish office supplies, stationery, business cards, and kitchen items. Qualifications
- Bachelor's degree preferred, or equivalent work experience - NEW
GRADS ARE WELCOME
- 2+ years of relevant administrative experience; financial or banking industry experience helpful
- Proficiency in Microsoft Office Suite (required); experience with CRM and document management software preferred Other Skills & Experience
