This position provides administrative support to the Director US. In addition, it supports operating the entire office administratively by planning and scheduling meetings; answering and directing calls; coordinating and overseeing all travel arrangements; maintaining office calendar and other duties as assigned. Duties Provide administrative HR support as needed including but not limited to new hire onboarding/off-boarding, job postings, relocation assistance, and other assistance needed by HR Assist IT with onboarding and terminations in managing IT equipment for the Troy office Coordinate travel arrangements for Novem Troy and is the proxy for travel for Novem Atlanta and Novem Cottondale Maintain master staff calendar, including PTO and business travel for the Troy office Communicate and enforce Novem travel policies as outlined in the "Travel and Expense Policy" guide Plan and coordinate internal and external meetings Prepare expense and weekly management reports Update master contact lists for Novem US locations Organize and maintain filing system Generate BANFs in SAP and ensure proper approval process has been followed Follow up with vendors on supply/equipment requests Negotiate best rates for non-project related services, i.e. hotels, car rentals, coffee Maintain vendor lists and schedule services as needed Provide monthly American Express reconciliation for the USA locations to Finance Assist IT with hardware set up and inventory control of IT property Ensure IT property is kept secured at all times Manage master meeting room schedule Order and maintain sufficient level of office and breakroom supplies Distribute daily in-coming and out-going mail Answer and direct phone calls to appropriate individual Provide all new hires with desk assignments, IT equipment and forms, onboarding information and documents Work with HR on Expat transitions and communicate with HR department on apartment rentals Support Sales Account Administrator with basic file and data management tasks Greet visitors upon arrival Other duties as assigned by superior Skills Strong computer literacy with proficiency in Microsoft Office Suite, spreadsheets, and data entry software Experience with SAP or similar software is highly desirable Basic accounting principles required Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Effective phone communication skills, including phone etiquette Demonstrated office management experience with a focus on productivity software and clerical tasks Exceptional time management skills to prioritize duties and meet deadlines consistently 3- 5 years office management or administrative assistant experience required Associate degree in business administration or similar required
