Proscape is an award-winning, family-owned landscape design and build company serving Commerce, Walled Lake, West Bloomfield, White Lake, Wixom, Milford, Highland, Novi, and communities across Oakland County since 2005. Our office is the heartbeat of the company, and we're looking for someone to help keep it running smoothly.

RESPONSIBILITES

Customer Service Act as the first point of contact by answering phones, greeting clients, and welcoming visitors Handle incoming calls, mail, emails, and deliveries with efficiency Manage client communication including new leads, scheduling, and inquiries. Ensure timely follow-up to maintain excellent customer service Office Administration Perform clerical tasks such as filing, scanning, data entry, and maintaining records Organize digital and paper filing systems for compliance and easy access. Manage office resources including supplies, uniforms, vendor orders, and subcontractor documentation Assist with marketing efforts by preparing materials, signage, and correspondence Coordinate office logistics such as errands, minor repairs, and basic IT troubleshooting Owner/Executive Support Provide comprehensive administrative support to the Owner, including managing calendars, scheduling meetings, and coordinating day-to-day tasks. Prepare, review, and organize correspondence, reports, and other business documents Assist with project coordination, task follow-up, and progress tracking Handle incoming communications and prioritize requests to ensure efficient workflow Maintain strict confidentiality and discretion regarding sensitive information Take ownership of tracking deadlines, deliverables, and project milestones, proactively keeping the owner informed and updated Financial & Bookkeeping Support Provide general bookkeeping support and data entry using QuickBooks Online as directed Track and process basic items such as invoices, receipts, and expense. Create, organize and maintain spreadsheets and other documents for recordkeeping Flag discrepancies or missing documentation for bookkeeper's attention Project & Operations Support Support project activities including proposals, job costing, printing, and change orders Assist with company events such as team building and home shows Coordinate vehicle maintenance schedules, logs, and compliance requirements Provide general support for operational tasks and special projects Handle incoming calls, mail, emails, and deliveries with efficiency Manage client communication including new leads, scheduling, and inquiries Ensure timely follow-up to maintain excellent customer service

QUALIFICATIONS

Proven experience as an Administrative Assistant or in a similar role. Strong organizational skills with attention to detail. Proficiency in Microsoft Office Suite and Google Workspace. Excellent customer service skills with a friendly demeanor. Ability to manage multiple tasks effectively in a fast-paced environment. Experience with front desk operations and multi-line phone systems is preferred. Bilingual candidates are encouraged to apply as it is a plus. Bonus points Experience with QuickBooks Online. Background in a landscaping, construction, or home-services office.
