Job Description
Job Overview We are seeking a detail-oriented and proactive Office Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, coordinating office activities, and providing support to various departments. This position requires strong organizational skills, excellent communication abilities, and a commitment to maintaining high standards of professionalism. Responsibilities Manage daily office operations and ensure efficient workflow. Handle incoming calls and inquiries with professionalism and courtesy, demonstrating excellent phone etiquette. Perform data entry tasks accurately and efficiently to maintain up-to-date records. Organize and maintain office files, documents, and databases for easy retrieval. Assist in the coordination of meetings, appointments, and travel arrangements as needed. Utilize computer systems for administrative tasks, including word processing, spreadsheets, and presentations. Support the management team with various administrative duties as required. Handle Company payroll and accounting (including use of QuickBooks). Maintain office supplies inventory and order supplies when necessary. Collaborate with team members to enhance office procedures and improve overall efficiency. Skills Strong organizational skills with the ability to manage multiple tasks simultaneously. Proficient in computer literacy, including familiarity with office software applications (e.g., Microsoft Office Suite). Experience with phone systems and a solid understanding of phone etiquette. Previous experience in an administrative or clerical role is preferred. Excellent written and verbal communication skills. Ability to work independently as well as part of a team. Attention to detail with a focus on accuracy in data entry and record keeping. Experience with transportation scheduling (i.e., Routing Box). Experience negotiating pricing with medical facilities and other potential clients. Experience with finance. Knowledge of office management practices is a plus.
