Randahl Construction is looking for an organized, detail-driven Administrative Coordinator to serve as the operational backbone of our office. This is a great fit for someone who thrives on keeping projects, people, and paperwork moving in the right direction and has thick skin while doing it — from the first customer lead all the way through project completion. You'll be the go-to person for lead intake, project administration in BuilderTrend, scheduling, customer selections, subcontractor coordination, fleet compliance, and timekeeping support. If you love bringing order to a busy office and enjoy being at the center of a construction team's day-to-day operations, we want to hear from you. Must be great with technology and the latest trends. Someone who can handle multiple tasks at once and can prioritize work with frequent interruptions. Have excellent customer service skills both over the phone and in person. Must be able to follow directions, be organized, be detailed, and be a self-starter.

No Responsibilities include, but are not limited to: Answering the phone and gathering appointment card information Greet incoming guests/customers and assist them IT troubleshooting Printer troubleshooting Emailing Filing paperwork physically in our office as well as on BuilderTrend online Assist in creating job posts Scan resumès Assist in the onboarding process Enter data into our software system Sort incoming mail Package up and mail outgoing mail Create job files Monitor and order office supplies Keep office organized Must be able to handle impromptu tasks from office members Misc. office projects Review incoming leads daily and enter complete customer records into BuilderTrend; follow up promptly by phone or email Monitor ownership's email multiple times a day, flag attachments and action items Upload blueprints, specs, and project files into BuilderTrend for each active project Help prepare and finalize customer proposals Reach out to trades and vendors to gather bids Manage vehicle license tabs and insurance paperwork; run periodic truck inspections and follow up on maintenance issues Administer the employee time clock system; review and correct timecards for accurate payroll processing
Skills and Experience:
1 - 2 years of office and CRM project management software experience Computer literate and software systems Customer service skills both in person and over the phone Must have good oral and written skills Enjoys working in a fast-paced environment with a positive attitude Experience with Microsoft programs Be able to handle multiple tasks at once Organized, detail-oriented, and professional
What We're Looking For:
Experience with a construction CRM/project-management platform — BuilderTrend, ProCore, or similar CRM software system experience strongly preferred Background in construction (commercial remodeling, residential remodeling, trades coordination, or a construction office) is highly valued, even without direct BuilderTrend experience Excellent organizational skills and a detail-oriented, reliable note-taker Comfortable juggling multiple priorities in a fast-paced office environment Strong communicator, both with customers and subcontractors
