JOB SUMMARY

2015-certified, independent field services provider offering new installation, maintenance, repairs, overhauls, and upgrades of all rotating equipment. We're experts in scheduled maintenance, forced outages, and emergency repairs with experience servicing all rotating equipment, including gas, steam, hydro, and nuclear turbines, generators, pumps, and compressors for all OEMs across the United States and Canada. The position's primary function is assisting the operations personnel, answering phones and directing calls, assisting in the preparation of bids, and the assignment of bid numbers, job numbers, and final reports.
ESSENTIAL
DUTIES and
RESPONSIBILITIES
This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.
  • Answering phones and directing calls.
  • Receiving mail and delivering mail to mailboxes.
  • Receiving bids, opening bids, and closing out bid numbers in Foundation.
  • Assigning and opening job numbers in CRM.
  • Assisting estimators with compiling information for bids and bid package generation and assembly.
  • Research the correct plant location, obtain union rates, and compile workup.
  • Tracking bid win-to-loss ratios and tracking losses to competitors.
  • Tracking pre-bid meetings.
  • Tracking bid due dates.
  • Assist with project setup.
  • Requesting insurance certificates as needed.
  • Handle confidential employee and customer information.
  • Coordinate with other departments as needed.
  • Ordering office supplies as needed.
  • General assistance as needed.
  • Issuing purchase order requests to the Purchasing Manager.
  • Vendor set up in BC/CRM accounting software as needed .
  • Customer set up in BC/CRM/Foundation.
  • Keeping updated on all external websites (bidding portals, supplier management/safety tracking sites, COI portals) and managing logins.
  • Forwarding faxes received.
  • Downloading UPS/FedEx weekly bills.
  • Final report assistance/review/compilation.
  • Assigning customer POs for approval signature.
  • Reviewing rate structures and proposals.
  • Coordinate with other departments as needed.

MINIMUM QUALIFICATIONS
Education
  • High school diploma or GED required Experience and/or Training Requirements
  • 5 years of related experience
  • Experience in process development, procedure documentation, and records retention required Licenses/Certificates
  • Valid Driver's License required Technology/Equipment
  • Must be proficient in PC use and applications, Microsoft Office (Word, Excel, Access, PowerPoint, and Microsoft Project 2000
  • Must know Primavera P3e and Microsoft NAV/Navision (or similar)
PREFERRED QUALIFICATIONS
Education
  • N/A Experience and/or Training
  • At least 6 years of experience in office management work, with at least 1 year in industrial quality control, and 1 year in the turbine-generator field services business preferred
  • Experience with document management concepts and computer-based systems would be a benefit Strong proofreading, communication, multi-tasking, and organizational skills Licenses/Certificates
  • N/A Technology/Equipment
  • Foundation, CRM, or Dynamics 365 Business Central experience is preferred

WORKING ENVIRONMENT
This position can be in an office/desk environment but also may require field work at various locations. Field locations may include extreme cold and heat, and various weather conditions. Protective clothing and equipment (PPE) may also be used in the field. PPE may include steel-toed shoes, a safety vest, a hard hat, gloves, and safety glasses. The environment may require occasional entry into confined spaces and hazardous conditions. Loud machinery is also common in the environment. Some travel is required for this position. This position may work remotely at the company's discretion.
