Job Description

Overview Guide Wealth Partners is seeking a professional, organized, and service-oriented Administrative Assistant to support our advisors, employees, and clients. This role is essential to maintaining efficient daily office operations while delivering exceptional service to both internal team members and external clients. The ideal candidate will possess strong communication and organizational skills, demonstrate attention to detail, and be comfortable managing multiple priorities in a fast-paced environment. Prior administrative experience is preferred, and experience within the financial services industry is a plus. Key Responsibilities
  • Answer and manage incoming phone calls, assist with client inquiries, and route requests to the appropriate team member.
  • Prepare, distribute, and maintain office correspondence, including emails, letters, forms, reports, and other documents.
  • Assist advisors with meeting preparation and follow-up activities.
  • Create, update, and maintain client records within the firm's CRM system.
  • Support advisors with client service requests and administrative needs.
  • Welcome and assist visitors to the office.
  • Provide administrative support to advisors and team members across the firm.
  • Assist with coverage and responsibilities when team members are out of the office.
  • Support leadership with special projects and requests.
  • Maintain document imaging and filing systems to ensure accurate recordkeeping. Qualifications
  • Previous experience as an Administrative Assistant, Receptionist, or in a similar administrative role preferred.
  • Knowledge of office management systems and administrative procedures.
  • Working knowledge of standard office equipment.
  • Proficiency in Microsoft Office Suite.
  • Excellent time management and organizational skills.
  • Strong attention to detail and problem-solving abilities.
  • Outstanding written and verbal communication skills.
  • Ability to prioritize tasks, manage multiple responsibilities, and work effectively in a team environment.
Pay:
$18.00 - $22.00 per hour
