Job Description

We are seeking a highly skilled and detail-oriented Senior Administrative Assistant to provide executive-level support to senior leaders and ensure the smooth operation of daily administrative functions. The ideal candidate is proactive, resourceful, and has extensive experience managing multiple priorities in a fast-paced environment. This role requires excellent organizational skills, the ability to work independently, and a collaborative mindset to ensure the efficient execution of projects and tasks. Provide high-level administrative assistance to senior leadership. Manage calendars, schedule meetings, and proactively handle scheduling conflicts for seamless execution of daily operations. Prepare, review, and edit correspondence, reports, presentations, and other professional documents with accuracy and attention to detail. Arrange and facilitate logistics for meetings, conferences, and workshops, including preparing materials and coordinating with participants. Take meeting minutes, track actionable items, and follow up as required to ensure timely completion. Assist in planning, tracking, and organizing projects and initiatives, collaborating with cross-functional teams as needed. Monitor deadlines and ensure deliverables are met, providing support in resolving challenges when necessary. Coordinate travel arrangements, including flights, accommodations, and itineraries, for executives and senior staff. Accurately prepare and manage expense reports in compliance with company policies. Act as a professional liaison between internal departments, external clients, and senior staff, ensuring clear and efficient communication. Manage inquiries and resolve issues proactively, ensuring excellent service delivery.
Qualifications:
7+ years of proven experience in an administrative assistant role, preferably supporting executives or senior leaders in a fast-paced corporate environment. Strong organizational and multitasking skills, with the ability to prioritize tasks effectively and meet deadlines. Exceptional written and verbal communication skills. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams). Ability to work independently while exercising sound judgment and discretion with confidential information.
Benefits and Compensation:
This role will be based out of our New Brighton office . The pay range is 62,000-92,500 depending on job-related knowledge, skills, and experience. This position is eligible for annual bonus and profit sharing based on company performance in addition to other benefits that support the total well-being of you and your family.
