Monday-Friday, 8:30 AM-4:30 PM, in person Overview Minnesota Excellence in Learning Academy (MELA) is seeking a warm, organized, dependable, and highly professional School Secretary to support the daily operations of our elementary school. The School Secretary is often the first point of contact for students, families, staff, and visitors and plays an essential role in creating a welcoming and responsive school environment. Because MELA is a small school community, this position requires someone who is flexible, comfortable wearing multiple hats, able to prioritize in a busy environment, and willing to step in wherever support is needed. The ideal candidate enjoys working with children and families, communicates effectively, maintains confidentiality, and can balance administrative responsibilities with the day-to-day needs of a busy elementary school. Key Responsibilities Front Office & Family Communication Serve as a welcoming and professional first point of contact for students, families, visitors, and community members. Answer and direct phone calls, emails, and general school inquiries. Welcome visitors and support school check-in and security procedures. Communicate effectively and respectfully with families and staff. Support school-wide communication through ClassDojo and other communication systems. Attendance & Student Records Maintain accurate daily student attendance, including tardies, absences, early dismissals, and student pickups. Contact families regarding attendance as needed. Maintain accurate and confidential student records. Support enrollment, registration, and withdrawal processes. Enter, update, and maintain student information in PowerSchool and other school systems. Student Support Support students who come to the office for a variety of needs, including illness, injuries, emotional support, behavior concerns, late arrivals, and early dismissals. Provide basic first aid and health-office support in accordance with school procedures and training. Assist with medication procedures and documentation as appropriate and permitted. Communicate with families regarding student health or other immediate needs. Work collaboratively with administration, teachers, and support staff to ensure students are appropriately supported. Food Services Support the daily coordination and administrative responsibilities associated with the school's food service program. Maintain accurate meal-related records and documentation. Communicate with staff, families, and food service providers as needed. Assist with meal counts, reporting, ordering, and other food service requirements. School Operations & Administrative Support Provide administrative support to the Principal and Superintendent. Assist with scheduling, school events, calendars, correspondence, and general office organization. Coordinate incoming and outgoing mail, deliveries, supplies, and office materials. Maintain organized and accurate school files and records. Assist with transportation and bus-related communication with families and providers. Support school events, field trips, and other operational needs. Help ensure that daily school routines and procedures run smoothly. Be willing to assist with additional responsibilities as needs arise in a small-school environment. Confidentiality & Professionalism Maintain strict confidentiality regarding student, family, and staff information. Handle sensitive situations calmly, respectfully, and professionally. Exercise good judgment when communicating information and responding to unexpected situations. Build positive relationships with students, families, staff, and community members. Qualifications High school diploma or equivalent required. Previous administrative, office, customer service, or school experience preferred. Experience working with children and families preferred. Strong written and verbal communication skills. Strong organizational and time-management skills. Comfortable learning and using technology and school information systems. Experience with or willingness to learn ClassDojo and PowerSchool . Ability to maintain confidentiality and handle sensitive information appropriately. Ability to manage multiple responsibilities and priorities in a fast-paced school environment. Skills Warm, welcoming, and professional communication style. Strong attention to detail and accuracy. Dependability and consistent attendance. Ability to remain calm and organized when multiple needs arise at the same time. Strong problem-solving skills and good judgment. Flexibility and willingness to support different areas of school operations. Ability to work independently while also collaborating closely with a team. Genuine enjoyment of working with elementary-aged children and their families. Physical Requirements Ability to perform the essential functions of the position, including sitting, standing, walking throughout the school, bending, and lifting or moving materials as needed.
