Job Description

Administrative Assistant About the Role At Revermann Lund Ross, we work hard to make sure clients feel welcomed, supported, and comfortable asking questions from their very first interaction with our firm. We are looking for an Administrative Assistant to take ownership of our front desk and help keep our office running smoothly. This person is often the first voice a client hears on the phone and the first face they see when they walk through our doors. Just as importantly, they are the person making sure the many day-to-day details behind the scenes are handled and followed through. We're looking for someone who enjoys working with people, takes pride in being organized and dependable, and doesn't need to be reminded about something they've taken responsibility for. We have established systems and processes, but we also value people who notice when something needs attention and take initiative. This is a front desk position first. Once established in the role, there will be opportunities to cross-train and assist with firm operations, projects, and other administrative responsibilities based on your strengths and interests. What Success Looks Like You may be a great fit if you: Genuinely enjoy working with people and making them feel welcome Take ownership of your responsibilities and follow through Can keep track of a lot of moving pieces without needing someone else to manage the details for you Communicate clearly, professionally, and kindly Are comfortable following established processes while also using good judgment Like learning new things and finding better ways to get things done Enjoy being part of a team where everyone pitches in Responsibilities Client Experience & Front Desk Welcome clients and visitors in a professional and friendly manner Answer and route incoming calls Monitor voicemails, text messages, and other client communications Schedule and confirm appointments Send engagement letters, intake forms, and client correspondence Assist with client signings, including serving as a witness and notary Maintain an organized and welcoming reception area and conference rooms Administrative & Office Support Manage the firm's main email inbox Save and organize client documents received electronically Process incoming and outgoing mail Scan, file, and organize documents according to firm procedures Provide administrative support to attorneys and staff Help maintain office supplies and coordinate with vendors Cross-train on additional administrative and operational responsibilities Assist with firm projects and process improvements as opportunities arise Qualifications Prior administrative, receptionist, customer service, or office support experience preferred Strong communication and interpersonal skills Strong organizational skills and ability to follow through Ability to manage multiple tasks and priorities Comfortable learning and using technology and software systems Dependable, professional, and proactive Notary commission preferred or willingness to obtain one Why Join Revermann Lund Ross?
