Job Description
Are you organized, upbeat, and ready to be the friendly face that keeps the office running smoothly? We're looking for an Administrative Assistant who brings positive energy, attention to detail, and a can-do attitude to our front office team.
What You'll Do:
- Greet guests with a warm, professional welcome as they arrive at the office.
- Answer, screen, and direct incoming phone calls.
- Receive, sort, and distribute daily mail and deliveries.
- Gather, organize, and manage incoming documentation.
- Complete data entry, copying, scanning, filing, and other general office support tasks.
- Update phone lists, emergency logs, and customer sign-in lists as needed.
- Schedule and monitor conference rooms to keep meetings running smoothly.
- Manage the companywide calendar.
- Lead the Fun Committee by helping plan and coordinate companywide events.
- Keep conference rooms, the reception area, kitchens, bathrooms, and common areas neat, stocked, and guest-ready.
- Handle daily opening and closing activities, including turning on lobby lights and unlocking the lobby door by 7:45 a.m. each business day.
- Be ready to greet guests and take calls starting at 8:00 a.m.
- Coordinate vending machines, cleaning company communication, employee uniforms, and lockers.
- Help bring company events to life—think food trucks, employee activities, and yes, even our own ice cream machine!
- Run business-related errands as needed.
- Perform other administrative duties and special projects as assigned.
What We're Looking For:
- High school diploma or equivalent.
- Strong working knowledge of Microsoft Office programs and standard office equipment, including computers, printers, copiers, scanners, and fax machines.
- Proficient with computers and able to quickly learn and navigate new software systems.
- Ability to understand and follow oral and written instructions and procedures.
- Strong time management skills, including the ability to meet deadlines, stay productive during slower times, and work well under pressure.
- Ability to maintain confidentiality, especially when assisting HR with job fairs, new hire coordination, company meetings, and employee events.
- Ability to work at least eight hours per day in the office at a computer workstation.
- A focused, accurate, and efficient work style.
- Maintain a professional appearance that reflects a welcoming front office environment.
- A good driving record.
