Job Description

Job Overview The Administrative Coordinator supports advisors and team members through calendar management, document organization, client service, email administration, and office operations. This role helps keep the team organized, efficient, and client-focused by ensuring administrative tasks are completed accurately and on time. This position focuses on coordinating and executing administrative responsibilities that support the day-to-day operations of the firm.
CORE RESPONSIBILITIES
  • Coordinate client meetings, advisor calendars, and internal team meetings.
  • Monitor designated inboxes, organize communications, and elevate urgent items.
  • Maintain documents and records within SharePoint, CRM, and other firm systems.
  • Answer phones, welcome clients, and support a professional client experience.
  • Coordinate conference room setup, client gifting, and special communications.
  • Maintain office supplies and support office operations and events.
  • Assist with onboarding logistics, internal communications, and team activities.
  • Identify opportunities to improve processes and administrative efficiency.
REQUIRED
  • 2+ years of administrative, office support, or client service experience.
  • Strong organization, communication, and time management skills.
  • High attention to detail and follow-through.
  • Proficiency with Microsoft Outlook, Teams, Word, and Excel.
IDEAL:
  • Experience with SharePoint, CRM systems, or document management platforms.
  • Experience in financial services, professional services, or similar environments.
  • Proactive, dependable, and team-oriented mindset.
  • Ability to manage multiple priorities while maintaining accuracy.
Pay:
$50,000.00 - $65,000.00 per year
