Performs office support functions required for the operation of the agency and/or specific program and supervises and manages the day-to-day clerical operations of the health center as well as supervising the duties of other clerical staff. Supervisory Responsibilities 1. Plans, assigns and reviews work, gives instructions and makes decisions on difficult clerical problems in connection with the work subordinate staff perform. 2. Schedules work to meet deadlines and establishes priorities; works with Clinical Services Coordinator to ensure immunization and other service-oriented clinics have appropriate clerical support. 3. Determines efficient ways to organize task of subordinates. 4. Reviews work of subordinates for adherence to established procedure and for accuracy. 5. Directs work flow of clerical services between departments. 6. Prepares performance evaluations making recommendations or issuing discipline. 7. Orients and instructs new subordinates on proper procedures and protocols ensuring compliance with state laws and regulations. 8. Works closely with billing staff to ensure that appropriate codes are being used for cost reimbursement. Clerical Responsibilities 1. Acts as a receptionist including greeting, assisting and responding effectively to program participants, customers, and/or general public through telephone and in-person inquiries and/or information on program policies and procedures as well as scheduling appointments in a friendly manner. 2. Responds to a large number of incoming phone calls including supplying requested information, making various program appointments and/or connecting the caller with the proper department, staff member, and/or referral to an appropriate outside agency. 3. Makes decisions within established guidelines, policies, or directions. 4. Maintains an up-to-date list of departments and employees, which includes work location, addresses, and telephone numbers. 5. Prepares, processes, maintains and coordinates various routine records and reports which often include performing data entry functions to track and compile data. 6. Sorts, cross-indexes, and files reports, records, and other materials according to appropriate methodology. 7. Maintains appropriate supplies and forms for assigned area. 8. Handles financial transactions as required including processing payment for services, issues receipts, processing cash receipts. 9. Issues birth and death certificates as per appropriate authorization. 10. Utilizes appropriate computer software applications. Experience, Education, and Training At least three years of experience in general office work; experience as a supervisor with an emphasis on contact with the public is desirable. Employee will participate in continuing education and training relevant to the duties and responsibilities of their position.
