OFFICE ASSISTANTPosition Summary We are seeking a dependable, organized, and customer-friendly Office Assistant to support the day-to-day operations of our office. This position will be responsible for maintaining the front office, assisting customers and tenants, answering phones, processing payments, entering new bid requests, running company errands, and providing general support to other office staff. The ideal candidate is someone who is reliable, organized, comfortable working with customers, able to multitask, and willing to help wherever needed . Primary Responsibilities Greet customers, tenants, vendors, and visitors in a friendly and professional manner. Answer incoming phone calls, take accurate messages, and direct calls to the appropriate person. Provide general customer service and assist customers with basic questions and requests. Accept, process, and accurately record customer and rental payments. Provide receipts and maintain accurate payment records as required. Enter new customer bid and estimate requests into the appropriate company system and make sure all necessary information is collected. Keep the front office organized, clean, and presentable. Maintain and organize rental property keys , including keeping accurate records of keys being checked in and out. Check, sort, and distribute incoming mail and maintain organization of mail and mailbox-related items. Run company errands as needed, including trips to the bank, post office, office supply stores, hardware stores, and other local businesses . Make deposits, pick up supplies, deliver documents, and complete other company errands as assigned. Assist property management staff with rental-related administrative duties. Assist other office employees with paperwork, filing, data entry, copying, scanning, organizing documents, and other administrative tasks. Learn and use company-specific software, applications, and online systems. Maintain confidentiality when handling customer, tenant, employee, financial, and company information. Help keep office records accurate and organized. Perform other reasonable office and administrative duties as assigned. Required Skills & Qualifications Applicants should: Be dependable, punctual, and able to maintain regular attendance. Have good communication and customer service skills. Be comfortable answering phones and interacting with customers in person. Be organized and able to keep track of multiple tasks and responsibilities. Have basic computer and data-entry skills. Be proficient with or capable of effectively using Microsoft Word and Microsoft Excel . Be comfortable learning various company-specific apps, software, and computer systems. Be able to accurately handle and record payments and other basic financial transactions. Pay close attention to detail when entering customer information, payments, bid requests, and other records. Be willing to assist other employees and take on different tasks as needed. Be able to work independently while also functioning well as part of a team. Errand & Driving Requirements Because running company errands is an important part of this position, the employee must have a valid driver's license and reliable transportation and be able to travel locally during the workday as needed. What We Are Looking For We are looking for someone who takes ownership of their responsibilities and understands that a small office requires teamwork. Some days may primarily involve answering phones, receiving payments, and entering information. Other days may include trips to the bank or store, organizing rental keys, helping with property management paperwork, or assisting another employee with a project. The right person will be friendly, dependable, organized, trustworthy, flexible, and willing to help wherever needed to keep the office running smoothly.
