Job Description

Candidate Requirements We are seeking a dedicated and highly organized Office Administrative Assistant to support our daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, good analytical skills, positive customer service attitude and a proactive approach to managing office tasks. You must enjoy working in a fast-paced team environment. Responsible for supporting and enhancing business activities for the organization. The ideal candidate for this position should be a self-starter, have a positive outlook, detail oriented, great communication skills, and a strong work ethic. Primary Duties & Responsibilities Responsible for performing administrative and secretarial duties and reporting to company owners to ensure efficient operation of the office. Greeting clients, employees and other parties visiting the facility. Preparing, editing, formatting, and typing memos, presentations, documents, and reports. Responsible for keeping and maintaining records and data entry in various software platforms. Oversee the filing system (both digital and physical) for all patient documentation, medical records, reports, and other documentation. Managing top management's external and internal correspondence. Sending reminders, managing an events calendar, and scheduling appointments upon request. Expense report preparation, site visit support and general office support. Collate and distribute mail and packages. Managing inventory of supplies (office and medical) and placing orders as required. Assist with audits, as requested. Answering phone calls, directing calls as required and handling all queries. Take accurate and comprehensive notes at meetings. Conduct duties in a professional and timely fashion. Work on special projects and other duties as requested. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications for document creation and collaboration. Strong computer literacy with experience in data entry, spreadsheets, and productivity software to enhance operational efficiency. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Demonstrated experience in office management, clerical work, and front desk responsibilities. Effective phone communication skills coupled with proper phone etiquette for professional interactions. Bilingual abilities are highly desirable to support diverse client needs and enhance communication within the team. Technical proficiency with multi-line phone systems, calendar management tools, and QuickBooks accounting software is preferred. Education & Prior Work Experience High School Diploma, Associates, or Bachelor's degree. Must have a minimum of one year of administrative experience. Strong computer skills with knowledge of Microsoft Office Suite. Active listening and good communication skills, plus ability to multitask. Experience with legal documents a plus.
