401(k) 401(k) matching Health insurance Paid time off Vision insurance Position Summary Baker Landscaping & Concrete, LLC is seeking a highly organized, proactive, and professional Personal Assistant to provide direct support to the Owner. This position serves as a trusted partner by managing schedules, coordinating travel, organizing projects, handling confidential communications, and ensuring the Owner's daily priorities are executed efficiently. The ideal candidate is detail-oriented, resourceful, adaptable, and able to anticipate needs while maintaining the highest level of professionalism and confidentiality. Executive Support Manage and maintain the Owner's daily calendar, appointments, and meetings. Coordinate business and personal schedules to maximize efficiency. Schedule meetings, conference calls, and appointments. Prepare agendas, meeting materials, and presentations. Take meeting notes and track action items when requested. Screen phone calls, emails, and correspondence. Draft professional emails, letters, and other communications on behalf of the Owner. Organize and maintain electronic and paper filing systems. Travel & Event Coordination Arrange business and personal travel including flights, hotels, rental vehicles, and itineraries. Coordinate conference registrations and event logistics. Prepare travel schedules and supporting documentation. Assist with planning company events, client functions, and executive meetings. Project Coordination Assist with special projects assigned by the Owner. Conduct internet and vendor research. Gather information and compile reports. Coordinate project timelines and follow up with internal departments and outside vendors. Track deadlines and ensure projects remain on schedule. Communication & Relationship Management Serve as a professional point of contact for clients, vendors, and business partners. Coordinate meetings with customers and strategic partners. Follow up on pending items requiring the Owner's attention. Maintain positive relationships through timely and professional communication. Personal Assistance Manage personal appointments and scheduling. Coordinate reservations and travel arrangements. Assist with errands as requested. Research and coordinate personal purchases and services. Maintain personal calendars and reminders. Coordinate deliveries and appointments related to the Owner's personal obligations. Administrative Support Maintain organized electronic records and documentation. Order office supplies and executive materials as needed. Assist with document preparation, printing, scanning, and organization. Coordinate courier services, shipping, and package deliveries. Keep the Owner informed of upcoming commitments, deadlines, and priorities. Required Qualifications High school diploma or equivalent required. Associate's or Bachelor's degree preferred. Minimum of 3 years of executive assistant, administrative assistant, or personal assistant experience. Excellent written and verbal communication skills. Strong organizational and time management abilities. Exceptional attention to detail. Ability to manage multiple priorities with minimal supervision. High level of professionalism and discretion. Ability to maintain confidentiality at all times. Strong problem-solving skills and sound judgment. Valid driver's license with reliable transportation. Preferred Qualifications Experience supporting a business owner or executive. Experience coordinating travel and executive schedules. Experience planning meetings or company events. Familiarity with project management software and calendar management systems. Technical Skills Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Microsoft Teams Google Workspace Adobe Acrobat Electronic document management Calendar and scheduling software Video conferencing platforms (Zoom, Microsoft Teams) Physical Requirements Ability to sit for extended periods while working on a computer. Occasionally lift up to 25 pounds. Ability to travel locally when necessary. Occasional evening or weekend availability may be required to support executive needs.
