This position serves as the first point of contact for prospective students, current students, instructors, visitors, and community partners while supporting all departments with administrative functions. The Administrative Assistant is responsible for managing front office operations, maintaining student and organizational records, coordinating communications, assisting with enrollment and scheduling activities, and supporting compliance and operational initiatives. This position plays a vital role in creating a professional, welcoming, and student-focused environment. Responsibilities Front Office Administration Serve as the primary receptionist by greeting visitors, students, instructors, and community partners in a professional and courteous manner. Answer and direct incoming telephone calls and respond to email inquiries. Manage incoming and outgoing mail, packages, and deliveries. Maintain a clean, organized, and professional reception area. Monitor office supply inventory and coordinate purchasing requests Student Support Assist prospective students with general program information and direct inquiries to the appropriate department. Support the admissions and enrollment process by collecting required documentation. Prepare student files and maintain accurate electronic and paper records. Assist with student orientation and registration activities. Process student forms, applications, transcripts, and other documentation. Schedule appointments for student advising and administrative meetings. Financial and Office Support Assist with tuition payment processing and receipt of documentation. Prepare purchase requests and maintain office supply inventories. Support invoice tracking and expense documentation. Assist leadership with operational reports and administrative data entry. Maintain accurate records of office expenditures and supply usage. Additional Responsibilities Support special projects and organizational initiatives as assigned. Participate in staff meetings and professional development activities. Perform additional administrative duties as necessary to support organizational operations. Qualifications Education High school diploma or equivalent required. Associate degree in Business Administration, Healthcare Administration, Office Administration, Education, or a related field preferred. Experience Minimum of two (2) years of administrative or office support experience preferred. Experience in healthcare, education, workforce development, or vocational training environments preferred. Experience providing exceptional customer service. Experience managing confidential records and documentation preferred. Knowledge, Skills, and Abilities Excellent organizational and multitasking abilities. Strong written and verbal communication skills. Exceptional customer service and interpersonal skills. Ability to maintain confidentiality and professionalism. Strong attention to detail and accuracy. Ability to prioritize workload and meet deadlines. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with student information systems, learning management systems, or customer relationship management software is preferred. Ability to work independently while contributing to a collaborative team environment. Strong problem-solving and critical thinking skills. Physical Requirements Ability to sit, stand, and walk throughout the workday. Ability to use standard office equipment, including computers, telephones, printers, and scanners. Ability to occasionally lift and carry office supplies and materials weighing up to 25 pounds.
