Purpose To provide the administrative support necessary for the effective management of Central Office/Center business affairs in matters pertaining to the overall support of the program. Formal Policy-Setting Responsibilities Formally responsible for providing input to or suggestions regarding the job's purpose, essential responsibilities, and operations. Routine Decision-Making Editing/formatting/creating various typing projects. Establish a system for making timely purchases for the replenishment of equipment and office supplies. Establish when to contact vendors for the servicing and maintenance of office equipment Formal Supervisory Responsibility None. Description Assure the professional, accurate and timely processing of all assigned work orders, requisitions, purchase orders, check requests, and other documents pertaining to operations. Provide clerical support to Internal Operations Associate Administrator, Program Director, Administrators, Center Managers, and Specialists for the effective and efficient operation of the Head Start program. Maintain all assigned filing requirements in a manner to allow timely retrieval of information as needed. Support all business functions and special events conducted to support program effectiveness. Support in establishing, implementing, and the evaluation of office procedures to assure maximum efficiency of office functions. Diagnose potential problems and exercise decision making when appropriate. Keep abreast of all policies, procedures and practices pertaining to the operations of the Head Start program. Provide receptionist duties as assigned. To perform this job satisfactorily, an individual must be able to perform each essential duty satisfactorily. Requirements:
Required Knowledge Must have knowledge of diverse computer software applications (Windows operating system, Microsoft Office Suite, Office 365, Adobe Acrobat, database applications). Knowledge and understanding of basic clerical practices. Knowledge of standard office equipment. Required Skills or Abilities Must have organizational skills to successfully manage duties and work assignments with limited supervision. Must have the ability to problem-solve. Must have effective verbal and written communication and interpersonal skills. Must possess the ability to create and edit documents using the Microsoft Office Suite. Must have strong customer service skills. Must have the ability to work successfully on a team and individually. Must exhibit professionalism. Ability to work with a diverse population. Formal Education High school education and two years or more work experience in managing an office of comparable complexity to the Head Start Program. Physical Conditions Ability to lift up to 20 pounds. Working Conditions (is this a desk job, primarily seated, in the classroom, lots of moving around from office to office, etc.) Requires extensive standing, bending, walking, and sitting at a computer terminal. Requires the ability to travel to remote sites as needed. Environmental Factors (anything else in the work environment
  • high stress, heavy mental demands, etc.
) Ability to work under stressful circumstances. Ability to process instructions and apply information appropriately. Ability to manage multiple tasks and time effectively.
