Job Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team!     Front Desk & Reception Operations:
    Answers incoming calls in a professional, service-oriented manner, directs calls, and routes messages accurately. Welcomes visitors, determines the purpose of their visit, and coordinates entry. Tracks resident hospitalizations and updates master administrative lists.
      Financial & Office Logistics:
      Collects rent payments and provides accurate documentation to bookkeeping for billing. Updates schedules for appointments, transportation, and salon services. Processes incoming and outgoing mail, deliveries, and non-medical administrative packages. Monitors inventory and orders office supplies.
        General Office Support:
        Operates and maintains office equipment (copiers, fax machines, call/beeper systems). Prepares correspondence, memos, cover sheets, and reports. Performs other duties as assigned.
          Tours & Inquiry Management:
          Completes prospective resident intake forms accurately via phone or in-person interactions. Distributes completed intake forms promptly to the Marketing Director and Executive Director. May conduct community tours for prospective residents and families, including during weekend shifts, as needed.
            HR & Personnel File Management:
            Maintains confidential employee personnel records in strict accordance with Missouri Department of Health and Senior Services (DHSS) standards and company policy. May coordinate and process mandatory pre-employment background checks prior to hire. Audits employee administrative files for required onboarding paperwork, background clearances, mandatory state training completion records, and active CPR/First Aid certifications.
              Resident Business File Management:
              Processes, organizes, and audits resident business files. Ensures signed residency/admission agreements and supplementary documents, and other administrative intake paperwork are complete, accurately filed, and maintained in compliance with facility standards.
                Cross-Departmental & Operational Support:
                Assists other department managers with general administrative duties as needed. Collaborates with the Employee Engagement Committee to support, coordinate, and execute facility employee engagement events and staff recognition activities.
                Physical Requirements:
                Ability to push, pull, or lift up to 50 pounds.
                Other Requirements:
                • High school diploma or GED equivalent; or 1-3 years related administrative experience/training.
                • Strong written and verbal English communication skills. Genuine compassion for the senior population.
                • Basic First Aid and CPR certification required.
                • Functional math skills (addition, subtraction, multiplication, and division).
                • Proficiency operating multi-line phone systems, copiers, and emergency call/beeper monitoring equipment.
                Ability to work flexible schedules as needed.
                Pay:
