Are you community-minded Penmac is recruiting for our business partner in West Plains. Now hiring an experienced Administrative Assistant to support a busy department with a wide range of administrative, clerical, and coordination responsibilities. This is an excellent opportunity for a highly organized professional who thrives in a fast-paced environment and enjoys supporting leadership, managing details, and helping operations run smoothly. Position Overview The Administrative Assistant performs diversified administrative duties as directed by department leadership. This role is ideal for someone with strong technical skills, sound judgment, excellent communication, and the ability to manage multiple priorities with professionalism and attention to detail. Key Responsibilities Serve as the first point of contact by answering incoming calls, taking messages, transferring calls, and assisting visitors with directions and general inquiries Provide comprehensive administrative and clerical support to departmental leadership, including scheduling, travel coordination, recordkeeping, and correspondence management Assist with data collection, reporting, and preparation of charts and graphs for administrative and financial purposes Maintain donor records, support donor communications, and coordinate preparation and distribution of mailings Assist with organizational policies, procedures, and performance improvement initiatives Receive, sort, and distribute incoming and outgoing mail Support departmental events as needed Order department supplies and submit work orders as required Coordinate and schedule catering needs for meetings and events Maintain a calendar of gift anniversary calls and cards for donors Oversee the Inside Track program by communicating with individuals interested in healthcare careers and connecting them with educational and career resources Qualifications 5+ years of previous administrative experience Advanced knowledge and proficiency in software appropriate to the position, including: Word processing Databases Spreadsheets Flow charting Graphing Desktop publishing Strong clerical and organizational skills Ability to apply creativity and critical thinking in planning, processing, and completing responsibilities Strong written and verbal communication skills Work Environment and Physical Requirements Light work frequently, including exerting up to 20 pounds of force occasionally and/or 10 to 20 pounds frequently to move objects Medium work occasionally, including exerting 20 to 50 pounds of force occasionally Medium concentration, memory, and decision-making demands Small amount of overtime or extended work hours may be required No on-call or call-back requirements Why Work Through Penmac Penmac connects talented professionals with rewarding opportunities where their skills and experience can make an immediate impact.
