Administrative Assistant Electric Cooperatives of Mississippi Ridgeland, MS Job Details Full-time From $48,000 a year 3 hours ago Benefits Health insurance 401(k) Paid time off Retirement plan Qualifications Microsoft Office Specialist Mail distribution Administrative experience Organizational skills Proofreading Full Job Description Job Overview Perform general administrative duties for the communication and government relation divisions, which includes, but is not limited to, the Today in Mississippi magazine, Cooperative Youth Leaders program, PAC reporting and special projects.
RESPONSIBILITIES
Today in Mississippi - Monthly magazine
  • Check the invoices for ad sales against the magazine run sheet, and email invoices and a copy of the printed publication to the advertisers
  • Bill systems for postage costs, electronic edition, extra pages, returns, shipping, and other costs associated with the magazine
  • Proof local and statewide pages
  • Approve preliminary and final counts before it's sent to the printer
  • File annual Statement of Ownership Request with local USPS Office
  • Sort USPS electronic reports and provide to coordinating system
  • Forward required postal forms (3541s) to AMP as needed
  • Coordinate deep dive audit with AMP as needed
  • Update ECM websites and Legislative Roster application
  • Mail copies of the printed publication to systems, members, people featured in articles, and individuals at their request
  • Maintain the complimentary list for the magazine
  • Remind the systems of their mailings list due dates; receive communication of receipt of lists; follow up with systems to ensure the data is received on time each month
  • Sort and file copies of Today in Mississippi
  • Receive and handle phone calls from readers with questions about articles, content, recipes, etc. Support for ECM and Communication Department
  • Assist with special projects for statewide and systems (ex. type, proof, mail)
  • Assist with the billing for system jobs and meetings, and handle the record keeping
  • Produce nametags as needed
  • Assist with office lunches
  • Serves as receptionist and answers phone or door chimes
  • Prep training room prior to meetings - organize and distribute materials, supplies, and snacks Statewide Directory
  • Prepare advertising materials and coordinate/received advertising orders
  • Maintain updated vendor database, communicate with advertisers, organize ad agreements/ads for directory production, prepare billing information
  • Communicate changes to graphics team and proof final directory
  • Distribute invoices and books to advertisers and systems Youth Program
  • Assist with youth workshop and tour as directed
  • Assist with preparing materials for students and advisors, including, but not limited to, printed materials, t-shirts, packets and other items for students and/or systems Government Relations
Roster:
Request updated information from elected officials; Communicate changes to graphics team, and proof final of legislative roster; add and make changes to app; solicit roster orders for systems and bill
  • Receive and review political action committee (PAC) contributions from member systems and verify accuracy with accompanying spreadsheets.
  • Maintain records of contribution receipts from individual systems.
  • File periodic reports of PAC receipts and disbursements with the FEC and Mississippi Secretary of State's Office.
  • Prepare letters to accompany PAC contributions to political candidates. Annual Meeting

  • Attends and assists as needed Experience Proven experience as an Administrative Assistant or in a similar role is preferred.
Strong organizational skills with the ability to prioritize tasks effectively. Proficiency in using office software including Microsoft office, especially Word and Excel. Familiarity with phone systems and front desk operations is advantageous. Excellent communication skills, both verbal and written, with a customer-oriented approach. Two-year degree from community college is preferred.
