Job Description

Online Business Operations Assistant Part-Time | Approximately 20 Hours/Week | In Person \ Overview We are looking for a highly organized, proactive, and tech-savvy Online Business Operations Assistant to support the day-to-day operations of a growing online education, coaching, and media company. This is not a traditional administrative role. We are looking for someone who loves organization, systems, numbers, and making businesses run more efficiently. You'll support client communication, track key business metrics, maintain systems and spreadsheets, assist with marketing operations, and help identify opportunities to streamline and improve the way we work. We are an AI-forward company and expect team members to confidently use tools such as ChatGPT to work efficiently, solve problems, improve systems, analyze information, and reduce unnecessary manual work. This is a part-time position averaging approximately 20 hours per week , with meaningful opportunities to grow in responsibility and scope over time. Responsibilities Support day-to-day administrative and online business operations. Manage client communication, ensuring responses are warm, professional, and timely. Maintain our CRM, client records, lead tracking, onboarding processes, and internal systems. Maintain and improve spreadsheets, dashboards, trackers, and operational documents. Track key business metrics and KPIs , including leads, sales, conversions, revenue, client activity, and marketing performance. Create simple weekly and monthly reports to help us understand what is working, what isn't, and where improvements can be made. Identify inefficiencies and proactively recommend ways to improve systems, workflows, and processes. Use AI and automation tools to reduce repetitive manual work and improve efficiency. Create and maintain SOPs and documentation for recurring business processes. Coordinate calendars, scheduling, appointments, deadlines, and other team logistics. Assist with email marketing and newsletter creation, scheduling, and organization. Support marketing and content operations across platforms such as Instagram, YouTube, email, and our online education platforms. Assist with basic Canva design, content organization, uploads, and other marketing support as needed. Support launches, promotions, online programs, and special projects. Take ownership of assigned projects and follow through without requiring constant oversight. What We're Looking For Previous experience in operations, virtual assistance, administrative support, or an online business environment. Strong comfort with numbers, spreadsheets, tracking, and reporting. Excellent organization and attention to detail. Strong written communication and client service skills. Proficiency with Google Workspace, particularly Google Sheets and Google Docs. Comfortable learning CRMs, course platforms, email marketing software, project management systems, and other online business tools. Basic Canva skills are a plus. Interest in online education, digital products, marketing, and business growth. Ability to work independently, prioritize effectively, and meet deadlines. Reliable, resourceful, and comfortable working in a fast-moving online environment. AI Literacy We are looking for someone who knows how to use AI as a working tool , not simply for basic writing. You should be comfortable using tools such as ChatGPT to: Troubleshoot problems and research solutions. Analyze data and identify patterns. Create and improve SOPs. Build and optimize workflows. Draft and organize communications and content. Improve spreadsheets and reporting. Find opportunities to automate repetitive tasks. Increase the speed and quality of your work.
