This position plays an important role in the day-to-day operations of the office by assisting Property Managers, communicating with homeowners and vendors, processing accounts receivable, and ensuring administrative tasks are completed accurately and efficiently. The ideal candidate is detail-oriented, comfortable working with technology, provides excellent customer service, and can successfully manage multiple priorities in a fast-paced property management environment . Key Responsibilities Accounts Receivable & Financial Support Process and post homeowner payments and other accounts receivable transactions. Maintain accurate homeowner account records. Assist with researching account balances, payment discrepancies, and homeowner account questions. Prepare deposits and assist with payment processing as needed. Assist Property Managers and accounting staff with A/R reports and delinquent account information. Maintain accurate documentation related to homeowner accounts and financial transactions. Homeowner & Customer Service Answer incoming telephone calls professionally and direct calls to the appropriate team member. Respond to homeowner emails and general inquiries in a timely and courteous manner. Assist homeowners with routine questions regarding their accounts, HOA procedures, forms, community information, and general association matters. Document homeowner communications and follow up on outstanding requests when necessary. Maintain a professional and helpful approach when handling difficult or sensitive homeowner concerns. Property Manager Support Provide daily administrative support to HOA Property Managers. Assist with preparing correspondence, notices, letters, reports, and community communications. Assist with violation letters, architectural requests, work orders, and other HOA documentation. Maintain association records, homeowner files, vendor information, and electronic documents. Assist with preparation for Board meetings, annual meetings, and community meetings. Coordinate information and documentation between Property Managers, homeowners, Board members, vendors, and other staff. Track outstanding administrative items and follow up as needed. General Administrative Duties Perform data entry, scanning, filing, copying, mailing, and document management. Maintain organized electronic and physical files. Process incoming and outgoing mail and correspondence. Assist with scheduling appointments, meetings, inspections, and other property management activities. Prepare spreadsheets, reports, letters, and other documents. Maintain office supplies and assist with general office organization. Provide administrative assistance to other departments as needed. Perform additional duties and special projects as assigned. Qualifications Previous administrative, office, customer service, accounting, or property management experience preferred. HOA or community association management experience is a plus. Experience with accounts receivable, payment processing, or basic accounting functions preferred. Strong computer skills are required , including proficiency with Microsoft Outlook, Word, Excel, and other office software. Ability to quickly learn HOA/property management software and other technology platforms. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to prioritize responsibilities and manage multiple tasks simultaneously. Strong problem-solving skills and ability to follow through on assignments. Ability to maintain confidentiality when handling homeowner, financial, and association information. Professional and courteous demeanor when communicating with homeowners, Board members, vendors, and coworkers. Position Expectations This position requires an individual who can balance customer service, administrative responsibilities, and basic accounting functions while supporting multiple HOA communities and Property Managers. The Administrative Assistant must be able to stay organized, communicate effectively, meet deadlines, and adapt quickly as priorities change throughout the day. The goal of this position is to help ensure that the HOA Property Management office operates efficiently while providing responsive, professional service to homeowners, Board members, vendors, and the communities we manage.
Pay:
$20.00 - $23.00 per hour Expected hours: 40.0 per week
