$16.00 hourly Position Summary The PrePress Administrative Support provides administrative and operational support across multiple departments at Strawbridge Studios. This position will be cross-trained in several areas of the company, including Data Processing/Receiving, Digital Services, and Yearbooks, providing support where needed to help keep daily operations organized and running smoothly. The ideal candidate is an organized, dependable, and motivated individual who can manage multiple priorities, communicate professionally, and adapt to different department needs. This position requires someone who is comfortable working with employees, schools, photographers, field personnel, and other contacts while maintaining a high level of accuracy and professionalism. Key Responsibilities Provide administrative support to various departments as assigned. Cross-train and perform duties within Data Processing/Receiving, Digital Services, and Yearbooks. Respond to emails and phone calls from schools, Territory Managers, field personnel, customers, and internal employees. Provide professional and timely communication and follow up on questions or requests. Enter, update, and maintain accurate information in company systems. Prepare and maintain spreadsheets, reports, records, and other department documentation. Use Microsoft Excel to organize, track, sort, and maintain information. Organize and maintain electronic and physical files and records. Assist with scheduling, tracking, data entry, order processing, and other administrative functions. Monitor outstanding tasks and follow up as needed to help ensure work is completed on time. Assist with receiving, processing, and organizing materials and information. Help identify missing or incorrect information and communicate issues to the appropriate team member. Work with multiple departments and adjust priorities based on business needs. Maintain confidentiality when handling company, school, student, customer, and employee information. Provide general administrative support and assistance wherever needed. Perform other duties as assigned. Qualifications Previous administrative or office experience required. Strong computer skills and the ability to learn new software and systems. Working knowledge of Microsoft Excel and Outlook required. Strong written and verbal communication skills. Professional and confident telephone and email communication skills. Excellent organizational and time-management skills. Ability to multitask and manage competing priorities. Strong attention to detail and accuracy. Ability to follow through on assignments and meet deadlines. Comfortable working with different departments, personalities, and types of customers.
