40 Months per year: 12PURPOSE:
The school-based administrative assistant serves as the primary point of contact for all internal and external stakeholders, providing courteous, efficient, and professional support to all individuals interacting with the school office. The administrative assistant shall perform a variety of general office duties to support the efficient operation of the school. This includes typing, ordering materials, answering telephone calls, processing correspondence, completing necessary forms, operating office machines, screening and routing of materials ordered, and maintaining organized office systems. In addition, the administrative assistant supports key data management functions, including accurate data entry and maintenance of student information, attendance tracking and reporting, and assisting with student records and documentation in the student information system. The role requires attention to detail, confidentiality, and the ability to ensure data accuracy and timely reporting. Additional duties may be assigned by the school administrator based on the unique needs and priorities of the school.KNOWLEDGE, SKILLS AND ABILITIES
Thorough knowledge of standard office practices, procedures and equipment Ability to understand and follow oral and written directions Ability to establish and maintain effective working relationships with stakeholders Ability to organize and perform work independently Ability to meet deadlines and schedules and independently set priorities Ability to post accounts and to perform mathematical computation with speed and accuracy Advanced skill in using a variety of office machines and computer equipment along with some typing ability Ability to communicate effectively with all stakeholders Ability to communicate school policies and procedures as appropriate Ability to maintain confidentiality in all mattersEDUCATION, TRAINING AND EXPERIENCE
High school diploma with additional training in office management skills Successful experience in performing secretarial/receptionist work, preferably in a school setting Training and/or experience that provides the required knowledge, skills and abilities Training and/or experience in data management, student information systems, and office operations is preferred.ESSENTIAL DUTIES AND RESPONSIBILITIES
Serve as front office receptionist Operate a multi-line telephone system and accurately communicate messages Provide the principal with clerical assistance when needed Provide general secretarial assistance (copying, faxing, filing, data entry, phone management, certificate creations, event programs, etc.) Assists school faculty with requests, paperwork, correspondence, etc., as needed Sorts and distributes mail Supervises students who are waiting at the office for various reasons Enter and maintain accurate student attendance records in the student information system Assist with data entry and data verification in the student information system (enrollment, demographics, scheduling support, etc.) Support data manager functions as needed, including maintaining accurate student records and assisting with reporting requirements Maintain appropriate contact with school personnel, parents, students and community members Receive all school materials and ensure distribution to the appropriate location Maintains master calendar for the school and updates website as necessary Calls substitutes when requested Perform other work as assigned by the PrincipalWORKING CONDITIONS
