Starting at $18.00 per hour, negotiable based on experience Position Summary Razorback Boring, Inc. is seeking a dependable and organized Bilingual Shop Administrative Assistant to provide administrative and operational support to our shop team. This position plays an important role in maintaining accurate records, coordinating daily shop activities, communicating with employees and vendors, and supporting the documentation needs of our horizontal boring operations. The ideal candidate is fully bilingual in English and Spanish, detail-oriented, comfortable working in a fast-paced construction/shop environment, and able to communicate effectively with both field and office personnel. Essential Duties & Responsibilities Answer incoming calls, take messages, route calls, and respond professionally to routine inquiries. Maintain shop records, work orders, repair logs, equipment files, inspection forms, and other operational documentation. Enter, update, scan, file, and organize documentation related to vehicles, equipment, materials, maintenance, and shop activities. Assist with scheduling and coordinating repairs, inspections, deliveries, vendor services, and equipment availability. Assist with ordering parts, tools, supplies, PPE, and materials and track purchase requests, packing slips, invoices, and receipts. Communicate with mechanics, drivers, foremen, supervisors, vendors, and office personnel regarding shop needs and outstanding items. Assist with inventory tracking and notify management when parts, supplies, PPE, or materials need to be replenished. Prepare and maintain spreadsheets, reports, forms, labels, logs, and other administrative documents. Assist with collecting and organizing employee, equipment, DOT, safety, training, and compliance documentation as assigned. Participate in team meetings and assist with operational tasks and process improvements. Maintain an organized and professional shop administrative area. Perform additional duties as assigned by management. Required Qualifications High school diploma or equivalent. Fluent bilingual English/Spanish communication skills, including speaking, reading, and writing. Previous administrative, clerical, shop, construction, or operations experience preferred. Basic proficiency with Microsoft Word, Excel, Outlook, and other Microsoft Office applications. Strong data-entry, recordkeeping, and document-management skills. Strong organizational skills with excellent attention to detail. Ability to communicate professionally with employees, supervisors, vendors, and customers. Ability to prioritize responsibilities and manage multiple tasks in a fast-paced environment. Ability to maintain confidentiality and responsibly handle company and employee records. Dependable attendance and punctuality. Preferred Qualifications Experience within horizontal boring, underground utilities, construction, fleet, transportation, warehouse, equipment, or shop operations is strongly preferred. Familiarity with horizontal boring terminology, equipment, job setup, plans, measurements, work orders, purchase orders, inventory tracking, maintenance records, and vendor coordination is a plus. Physical Requirements This position requires the ability to sit, stand, walk, bend, reach, and move throughout an office and shop environment as needed. The employee must be able to operate standard office equipment, including computers, phones, printers, and scanners, and occasionally lift or carry supplies, files, small parts, or materials weighing up to 25 pounds . Work Environment This position works primarily within an office and shop environment and may involve exposure to moderate noise, moving vehicles and equipment, tools, dust, and changing shop activity. Employees are expected to follow all company safety policies and procedures when entering or working around shop and operational areas.
