Job Summary We are seeking a detail-oriented and proactive Office Assistant to support our team in daily administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a customer-focused mindset. This role is essential in ensuring smooth office operations and providing exceptional service to both internal and external stakeholders. Responsibilities Manage front desk operations, including greeting visitors and handling inquiries. Operate multi-line phone systems, ensuring effective communication with clients and staff. Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Assist with filing, organizing documents, and maintaining office supplies. Provide customer support by addressing questions and resolving issues promptly. Utilize QuickBooks for basic bookkeeping tasks as needed. Support calendar management for scheduling appointments and meetings. Conduct proofreading of documents to ensure accuracy and professionalism. Collaborate with team members to enhance office management processes. Maintain computer literacy by utilizing Microsoft Office Suite and Google Workspace for various tasks. Experience Previous office experience or clerical experience is preferred. Familiarity with administrative duties such as calendar management and customer service is essential. Bilingual candidates are encouraged to apply, enhancing communication with diverse clients. Strong typing skills along with time management abilities are necessary for success in this role. Proficiency in organizational skills to manage multiple tasks effectively.
