Hay Distributing, a local Red Bull distributor, is looking for a friendly, organized, and dependable Part-Time Administrative Assistant to help keep our office running smoothly. This position is a great fit for someone who enjoys helping others, likes having a variety of responsibilities, and is excited to learn new things. You do not need to come into the role knowing every process- we are looking for someone who brings a positive attitude, stays organized, follows through, and is willing to learn and adapt as priorities change. As one of the first people employees, customers, and visitors interact with, you will help create a welcoming and positive experience while providing important support to our administrative team. Position Schedule Monday through Friday 7:00 AM to 1:00 PM or 8:00 AM to 2:00 PM Part-time, approximately 30 hours per week $20 per hour What You'll Do Front Office and Communication Support Welcome visitors and serve as a friendly, professional first point of contact. Monitor general phone and voicemail inquiries. Respond to basic questions and route messages to the appropriate person or department. Communicate information clearly and promptly to employees, customers, and members of the management team. Help maintain a positive and welcoming office environment! General Administrative Support Manage incoming and outgoing mail. File and organize invoices and other office documentation. Assist with preparing and distributing company newsletters. Maintain and update NoviSign content. Order, organize, and maintain office and kitchen supplies. Assist the administrative team with projects and other daily office needs. Help maintain organized systems and accurate records. Employee Support and Engagement Coordinate employee badge issuance and tracking Assist with uniform orders and related documentation. Collect and track employee feedback and engagement ideas. Help prepare for employee engagement activities, meetings, and office events. Provide general administrative support to employees and the management team. Accounts Receivable Support Process deposit book requests Assist with remote deposits Process and document non-sufficient funds transactions Maintain records related to accounts receivable adjustments Assist with payment applications Complete assigned financial support tasks accurately and within the requested timeframe What Will Help You Succeed We are looking for someone who is: Friendly, approachable, and comfortable interacting with different people Dependable, punctual, and ready to contribute each day Organized and able to keep track of multiple responsibilities Detail-oriented and committed to completing work accurately Willing to learn new processes, systems, and responsibilities Adaptable when priorities or daily needs change Comfortable asking questions and receiving direction Able to work independently while also supporting a team A clear and professional verbal and written communicator Comfortable using Microsoft Excel, Word, Outlook, and other computer systems Able to prioritize responsibilities and follow through on assigned tasks Comfortable with basic math, data entry, and recordkeeping Previous administrative, office support, customer service, accounts receivable, or distribution experience is helpful, but it is not required. We are willing to train the right person who demonstrates reliability, initiative, organization, and a genuine willingness to learn.
