Job Description

The Tubular Steel Building Manufacturers Association is seeking an organized, proactive, and dependable individual to serve as Secretary of the Association . The Secretary is an officer position within TSBMA and plays an important role in both the administration and continued development of the Association. This is a hands on position responsible for helping manage membership, meetings, events, Association records, communications, dues administration, and other ongoing activities. The Secretary will work closely with the President, Vice President, Treasurer, Board, committees, members, and industry partners to help ensure the Association remains organized and its initiatives continue moving forward. Key Responsibilities Membership Administration Receive and review membership applications for completeness and eligibility Coordinate applications requiring leadership or Board review Communicate with applicants regarding status, additional information, approvals, and next steps Maintain an accurate and current membership roster Coordinate onboarding of new members Track membership dues, renewals, payments, and outstanding balances Send dues notices, renewal reminders, and follow up communications Coordinate dues and payment records with the Treasurer Maintain organized membership records Respond to general membership inquiries Meetings & Association Records Coordinate Association, Board, and committee meetings Prepare and distribute agendas, notices, and supporting materials Attend meetings and prepare accurate meeting minutes Maintain official Association records, policies, resolutions, applications, and other documentation Track decisions, assignments, deadlines, and action items Follow up with officers, committees, and members regarding outstanding items Maintain the Association calendar and important deadlines Events & Programs Organize and coordinate Association meetings, conferences, educational programs, networking opportunities, and other events Research and book venues, hotels, meeting spaces, meals, and other event needs Manage registrations and attendee information Coordinate with speakers, vendors, sponsors, venues, and industry partners Prepare and distribute event information and schedules Assist with event budgets, invoices, expenses, and documentation in coordination with the Treasurer Provide administrative support before, during, and after Association events Communications & Association Administration Prepare and distribute member communications, announcements, notices, and correspondence Maintain organized Association files and electronic records Maintain member, vendor, sponsor, and industry contact information Assist with correspondence on behalf of Association leadership Support committees, sponsorships, industry outreach, and special initiatives Help establish and improve administrative systems and processes Assist Association leadership with ongoing projects and priorities Take ownership of additional administrative responsibilities necessary for the effective operation and continued growth of TSBMA Qualifications The ideal candidate is highly organized, dependable, professional, and comfortable taking ownership of multiple responsibilities. Strong written and verbal communication skills, attention to detail, time management, and follow through are essential. Experience in administration, office management, event coordination, membership organizations, associations, or similar work is preferred. The Secretary should be comfortable communicating professionally with business owners, Association members, vendors, sponsors, and other industry professionals. Experience with a trade association, nonprofit organization, membership organization, or professional association is helpful but not required. Schedule & Work Environment This is a part time independent contractor position with an anticipated commitment of approximately 15 to 20 hours per week. The position is primarily in person in the Winston Salem, North Carolina area. Some flexibility may be available based on Association needs. Attendance at certain Association meetings and events will be required, and occasional travel may be necessary. As TSBMA continues to grow, the responsibilities of the Secretary may evolve. The successful candidate should be comfortable taking initiative, developing processes, and assuming additional responsibilities that support the Association's mission and operations.
Pay:
$20.00 - $25.00 per hour
