Responsibilities Manage front desk duties, greeting visitors, employees, and clients with professionalism and warmth Operate multi-line phone systems, directing calls accurately and courteously Handle scheduling and calendar management for executives and team members Oversees daily opening routines to ensure the office is organized and ready for staff each morning Perform data entry, filing, and document proofreading to maintain accurate records Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and presentations Assist with office management tasks such as supply inventory and mail distribution Skills Must be Bilingual (English & Spanish), be able to fluently read and write in both languages Proven experience with office management, clerical tasks, and administrative support or willing to learn Computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets) Excellent organizational skills with attention to detail and accuracy in data entry and proofreading Exceptional customer service skills combined with professional phone etiquette Bilingual abilities are highly desirable to serve diverse clients effectively and help them fill out applications Familiarity with multi-line phone systems, calendar management tools, and office equipment Ability to prioritize tasks efficiently using strong time management skills Join us to be an essential part of a vibrant team dedicated to supporting our organization's success through exceptional administrative excellence!
