Duties Greet visitors, clients, and staff warmly, ensuring a positive first impression. Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel. Handle data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools. Maintain organized front desk areas and manage office supplies inventory to support daily operations. Schedule appointments and manage calendar appointments for staff or executives with precision. Assist with clerical tasks including proofreading documents, managing correspondence, and updating records. Provide customer support by addressing inquiries promptly and professionally via phone or in person. Utilize technical proficiency in office management software like QuickBooks for basic bookkeeping or invoicing tasks. Support office management activities by coordinating meetings, handling mail distribution, and maintaining client communication records. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional phone etiquette and communication skills for professional interactions via multi-line phone systems. Bilingual abilities are a plus to serve diverse client needs effectively. Prior office experience or administrative experience is preferred to ensure seamless workflow management. Knowledge of data entry procedures, proofreading standards, and clerical best practices. Experience with customer service roles that require patience, clarity, and problem-solving skills. Technical proficiency in office management tools such as calendar management software and spreadsheets is highly desirable.
