Job Description

Summary We are seeking a highly organized and motivated Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth communication and efficient administrative processes. Administrative assistant will assist in programs, functions, services, and activities for the clinic. The position involves patient check-in, accurately receiving payments, and answering telephones. This position requires a high level of organization with great communication skills. Candidate must be able to work the following hours: Monday
  • Friday, 5:30 am
  • 11:00 AM and Saturdays 7:30 AM
  • 9:30

Pisgah Recovery Services is a for-profit outpatient treatment program designed to treat opioid dependent individuals through the utilization of medication assisted treatment. Our program provides medication paired with behavioral modification & skill-building services including psycho-education, counseling, case management, assessment & crisis-intervention. We are an equal opportunity employer and value diversity. Job Responsibilities Greet visitors at the front desk and assist with inquiries. Works with the Director and other staff in the coordination of intake and treatment; Maintains clinic waiting list (if applicable); Assists Director in the preparation of reports, budgets, grant applications, and formal communications with outside agencies and individuals; Provides clerical and logistical support with respect to DHSR certification and reporting requirements, records meetings (minutes) and committee assignments; Maintaining daily financial records computer software, files and reconciles deposit verification, and other miscellaneous documents essential to the clinic's operation; Coordinates the overall management of record keeping and insures correspondence with other agencies; Links all correspondence received in fax folder to appropriate patient files; Assists Risk Mgmt Officer with Clinic Inventory; Answers telephones in a timely and professional manner. Records caller information and or/referral information as required. Forwards calls to appropriate staff member as necessary; Maintains confidentiality as required by State and Federal Law (42CFR2, HIPAA, etc.); Keeps other logs up-to-date, keeps Administrative Area clean and orderly at all times. This is the first impression for our patients, visitors, and staff (everyday); Maintains a friendly yet professional attitude towards patients. MUST be consumer focused; Coordinates, maintains, and submits all financial documentation required for 3rd party reimbursement. Proficiency in clerical tasks with strong attention to detail. Familiarity with computerized systems for record keeping and scheduling. Strong customer service skills to foster positive interactions with clients. Effective time management skills to prioritize tasks efficiently.
