PM Pay Rate:
$16.00 per hour
  • Position Summary The Administrative Support Staff provides essential clerical and operational support to ensure the smooth daily functioning of a mental/behavioral health office.
This position requires a highly organized, detail-oriented, and flexible individual who is a quick learner, effective multitasker, and able to work both independently and as part of a collaborative team. The ideal candidate will demonstrate professionalism, excellent communication skills, and a pleasant, client-centered attitude.
  • Key Responsibilities
  • Provide administrative and clerical support to the administrative team
  • Assist the Intake Coordinator and Medical Records department with assigned tasks
  • Communicate professionally with clients, families, referral sources, and external partners in person, by phone, and via email
  • Schedule appointments, manage calendars, and route calls, mail and other correspondence appropriately
  • Assist with maintaining accurate records, files, and documentation in compliance with confidentiality and HIPAA standards
  • Prepare, organize, and process documents using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Support intake and referral processes as needed
  • Assist with special projects, reports, and administrative initiatives
  • Perform general office duties including copying, scanning, filing, and data entry
  • Maintain a welcoming and professional front-office environment
  • Attend weekly team meetings and assigned trainings
  • Required Qualifications
  • Minimum of a High school diploma or equivalent (Associate's degree preferred)
  • Prior experience working in a mental health or behavioral health office
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong multitasking and organizational skills
  • Must be open minded with the ability to learn new systems and procedures quickly
  • Excellent verbal and written communication skills
  • Professional appearance and pleasant, client-friendly demeanor
  • Ability to work effectively both independently and within a team
  • Strong attention to detail and ability to manage confidential information
  • Preferred Skills
  • Experience with electronic health records (EHR) systems
  • Knowledge of intake, referral, or medical records processes
  • Ability to manage competing priorities in a fast-paced environment
  • Work Environment This position is based in an office setting within a mental/behavioral health organization and requires some interaction with clients, staff, and community partners.
