II FUNCTIONAL PURPOSE
The purpose of this position is to provide administrative and clerical support functions for non-instructional assignment area within the school district.
DUTIES AND RESPONSIBILITIES
Types letters, memorandums, agendas, forms, manuals, minutes, and other narrative summaries. Answers telephones and greet visitors to the office, handles requests for information in area of assignment, routes person to appropriate office or persons, takes and receives messages for staff. Enters a variety of data into databases or spreadsheets as a method of tracking and base data for analysis. Orders materials needed for the department, places work orders, process invoices, maintains inventory of materials and supplies; files expense reports and travel forms for staff. Reconciles records, accounts, and inventory; provides insight to variances. Maintains running balance for any assigned budget codes and accounts; serves as resource to staff for department budget information. Schedules meetings and coordinates committee meetings with needed parties, as requested by department leadership. Places requests for printing and collating materials; coordinates and serves as liaison with Print Shop and the Mail Center. Types standard reports for various regulatory agencies; may assist in compiling parts of the report. Sorts and processes mail for the assigned staff. Collects time sheets from staff, processes payroll for staff of assigned unit, serves as payroll clerk for unit. May serve as notary in assigned area. Performs other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Demonstrated knowledge of office practices, procedures, and methods. Proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint) and Google Docs. Working knowledge of the office machines required of the position (copier, fax, telephone system, computer). Ability to set own work priorities and be flexible in adjusting workload and variety of tasks assigned while ensuring deadlines are met. Ability to communicate professionally with visitors, parents, students, and the general public. Ability to follow oral or written instructions. Ability to process work, forms, and materials involving numbers with a high degree of accuracy. Ability to develop and maintain effective working relationships with a variety of people and to be flexible in accepting job assignments.
EDUCATION AND EXPERIENCE REQUIREMENTS
Minimum:
Graduation from two-year business school; or High School Diploma/GED plus two years of general office experience or an equivalent combination of education and experience. Pay Grade 62
