Job Description
Summary of Work This position is within the Department of Water Resources Water Appropriation Division and provides administrative support for the Division serving as the main point of contact for the public. Additional responsibilities include updating databases, processing and uploading submitted well driller reports, sending out temporary water permits, drafting and reviewing documents for State Engineer and Director review and approval, and managing incoming and outgoing mail. Duties and Tasks Serve as the Water Appropriation Division's primary administrative support, including answering phones, sorting and distributing mail, and attending to any day-to-day office needs. Greet and assist visitors, provide information, and direct individuals to the appropriate staff. Manage, review, and proof documents to and from the State Engineer and Director. Entering well driller reports and enter, update, and manage data within the Water Permit and Well Inventory Database. Send out temporary water permits. Manage, review, and proof documents issued by the Division for distribution to the public. Serve as an administrator for DWR public notice publications through a 3rd party vendor - Column US.
Reconcile purchasing cards (P-Card). Minimum Qualifications An associate's degree in Administrative Assistance, Business Administration, Office Administration, or a related field, and two years of work experience performing a variety of complex office support duties. DWR will consider substituting additional work experience for the education requirement on a year-for-year basis if the experience provides the knowledge and skills required to perform the duties of the position. Excellent communication skills, including verbal, written, and interpersonal communication, with the ability to collaborate effectively across teams. Strong organizational skills with the ability to manage competing priorities. Impeccable attention to detail. Experience using Microsoft Office Suite applications. Preferred Qualifications An associate's degree in Administrative Assistance, Business Administration, Office Administration, or a related field. Experience with data entry and database management. Experience working with or supporting a regulatory program. Experience coordinating public notifications and published notices with local newspapers. Notary public.
