Job Summary We are seeking a dynamic and organized Office Assistant to join our team! Duties Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software Assist with calendar management, scheduling appointments, and coordinating meetings for team members or clients Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure a tidy and efficient workspace Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client communication efforts Maintain office organization through filing systems, document management, and ensuring all office equipment is functioning properly Requirements Proven experience in office management or administrative support roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Familiarity with QuickBooks or other bookkeeping software is preferred Excellent communication skills with the ability to handle multi-line phone systems and demonstrate professional phone etiquette Bilingual abilities are a plus to assist diverse client needs effectively Strong computer literacy including typing speed, proofreading skills, and technical proficiency with productivity software Previous experience in customer service or front desk roles is highly desirable Ability to manage time efficiently while juggling multiple tasks in a fast-paced environment Join us as an Office Assistant and become an essential part of our vibrant team!
