Job Description

The Administrative Assistant will be responsible for providing office administration and data collection for our Valley City 0-5 Head Start center.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide friendly and knowledgeable assistance as needed to staff, clients, and other community members. Perform clerical duties such as answering phones, opening mail, data entry, and filing. Be familiar with developmentally appropriate practices for children ages 0 to 5. Facilitate the process for incoming and outgoing mail as directed by the Site Supervisor. Prepare, edit, photocopy and distribute the What's Happening newsletter. Process requests and input applications as requested by the Family Service Specialist. Administer medication to children in accordance with medication administration policy and procedure. Enter data into systems as requested. Assess sick children, call parents and arrange for transportation home when needed. Complete CACFP and attendance records for the center and route to Administrative Assistant. Tabulation of in-kind. Route to fiscal when complete. Requisition and order office supplies; assist with the inventory of supplies and equipment. Assist with height, weight and vision screening; maintain documentation on health-related follow-up. Complete end of the year child health summaries. Conduct head lice screenings as needed. Work collaboratively with all staff to maintain compliance with all program regulations. Adhere to Community Action Code of Ethics and confidentiality policy. All other duties as assigned. QUALIFICATIONS
High school diploma or equivalent. Proficient in Microsoft Office applications. Excellent organizational skills and attention to detail. Ability to multitask and prioritize tasks effectively. This position is 32.5 hours per week with full benefits during the school year.
