Job Summary:
The Regulatory Administrative Assistant will provide dedicated administrative and clerical support to the Regulatory team at our Oil & Gas company's Williston, ND office. The ideal candidate is detail-oriented, highly organized, and comfortable managing time-sensitive filings, permits, and correspondence in a fast-paced field office environment.Responsibilities:
Provide day-to-day administrative support to the Regulatory team, including calendar management, correspondence, and document preparation. Prepare, organize, and submit regulatory filings, permits, and sundry notices to state and federal agencies, including the North Dakota Industrial Commission (NDIC) and other relevant bodies. Track permit and filing deadlines, ensuring timely submission and renewal of required regulatory documentation, and monitor changes in regulatory requirements to keep tracking logs and checklists current. Maintain and organize well files, regulatory records, and compliance documentation in accordance with company and agency retention requirements. Assist in the preparation of monthly production reports, spacing unit documentation, and other recurring regulatory submissions. Liaise with state and federal regulatory agencies, landowners, and internal departments (Land, Legal, Operations) to gather and route information, and coordinate logistics for regulatory team meetings, hearings, and agency inspections. Handle confidential and sensitive regulatory information with discretion, and support special projects as directed by the Regulatory Manager.Skills:
Strong organizational skills with the ability to manage multiple deadlines and priorities simultaneously. Excellent written and verbal communication skills required. High degree of accuracy and attention to detail, particularly with regulatory forms and filings. Ability to operate independently, exercise sound judgment, and handle confidential matters with discretion; a strong team player able to build effective working relationships across departments and with outside agencies.Requirements:
Minimum of 2 years of administrative experience, preferably within the Oil & Gas industry or a regulatory/permitting environment. Familiarity with North Dakota oil and gas regulatory processes (NDIC, NDDEQ) strongly preferred. Proficiency in Word, Excel, PowerPoint, and Microsoft Outlook/Calendar required; experience with regulatory or land management software (e.g., WellDatabase, Enverus, TOBIN) a plus.Education:
High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or related field preferred.
