Administrative & Customer Experience Coordinator Royalty Roofing & Siding Location:

Role:
Royalty Roofing & Siding is looking for a highly organized, professional, and technology-driven individual to play a key role in our day-to-day operations and customer experience. This is not a traditional administrative assistant position. This person will often be one of the first interactions a potential customer has with Royalty. You will be responsible for answering inbound calls, following up with new opportunities, communicating with customers, and helping convert inbound leads into scheduled appointments for our sales team. Beyond customer communication, this role carries significant administrative and financial responsibility. You will assist with invoicing customers and insurance companies, permitting, project documentation, accounts receivable, and job closeout while working closely with our Operations team and CFO. We're looking for someone who can represent Royalty at an extremely high level—someone who is confident on the phone, professional in their communication, comfortable with technology, and excited about how AI and automation can help a growing company operate more efficiently. What You'll OwnInbound Leads & Customer Experience Answer incoming calls and represent Royalty professionally and confidently Respond quickly to new inbound leads from multiple marketing channels Follow up consistently with prospective customers by phone, text, and email Build rapport, understand customer needs, and convert qualified inbound opportunities into scheduled appointments Accurately enter and manage customer information within our CRM Maintain consistent follow-up with leads that have not yet scheduled Help ensure every potential customer receives a timely, professional experience Invoicing & Financial Administration Create, issue, and track invoices for completed projects Invoice customers and insurance companies accurately and on time Verify project documentation and completion requirements before billing Communicate professionally with customers regarding invoices, balances, and payment questions Follow up on outstanding accounts receivable Work directly with the CFO to assist with job closeout and financial performance tracking Escalate delinquent accounts when liens, collections, or additional action may be required Permitting & Project Administration Coordinate permit applications and required documentation Track permits, inspections, and project closeout requirements Coordinate final inspections when required Maintain accurate customer and project records Assist Sales, Operations, Production, and Finance with administrative needs Help identify gaps and improve processes as the company grows Technology, AI & Process Improvement Royalty continues to invest in technology, automation, and AI to improve the way we serve customers and operate our business. We're looking for someone who is excited about that. You don't need to be an AI expert, but you should be comfortable learning new technology and interested in finding better ways to work. You'll work with our CRM, communication platforms, reporting tools, AI-powered systems, and other technology designed to improve speed-to-lead, customer communication, follow-up, and operational efficiency. Who We're Looking For The right person for this role is: Exceptional on the phone and comfortable speaking with customers throughout the day Extremely professional and understands that they represent the Royalty brand with every interaction Organized and capable of managing a high volume of responsibilities Detail-oriented, especially when working with invoices, insurance documentation, and financial information Persistent and comfortable following up with prospective customers Confident asking for the appointment and moving conversations forward Technology savvy and able to learn new systems quickly Excited about AI, automation, and new technology Able to work independently without needing constant direction Comfortable being held accountable to measurable performance expectations Able to communicate effectively with customers, salespeople, project managers, leadership, and finance Someone who takes ownership rather than simply completing a checklist Qualifications 2+ years of administrative, customer service, inside sales, or office experience preferred Experience in roofing, construction, home services, insurance restoration, or a similar industry is a plus Strong verbal and written communication skills Experience with CRM systems and business technology preferred Proficiency with Microsoft Office, Excel, Google Drive, and similar platforms Experience with invoicing, accounts receivable, insurance documentation, or permitting is a plus Schedule Monday-Friday | 8:00 AM-5:00 PM This is a full-time, in-office position at Royalty Roofing & Siding in Omaha. Compensation & Performance This position includes a competitive base compensation package. After successfully completing an initial probationary period, this position will be eligible for performance-based bonuses tied to measurable results and individual performance. Performance may include areas such as: Speed and quality of inbound lead response Appointment conversion Customer communication and experience Accuracy and timeliness of invoicing Accounts receivable follow-up Job closeout efficiency Overall execution and accountability Why This Role Matters This position sits at the intersection of customer experience, sales, operations, and finance. From $60,000.00 per year
