Job Description
Overview The office staff is the core of a business so this is a critical position. Finding the right individual is the difficult part! We are looking for an individual who is VERY capable, dependable, driven, customer oriented, skilled in Excel and QB, and all aspects of accounting (AR & AP). Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service. Handle data entry tasks accurately using productivity software such as Microsoft Office and spreadsheets. Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents. Assist with calendar management and scheduling appointments for staff and clients. Support office management activities by coordinating supplies, processing invoices via QuickBooks, and overseeing general administrative tasks. Proofread correspondence, documents, and reports to ensure clarity and professionalism. Provide technical support for office equipment and maintain computer literacy across various software applications. Skills Proven experience with office management, clerical work, or administrative support roles. Strong computer skills, including proficiency in Microsoft Office (Word, Excel) and familiarity with productivity software. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Effective communication skills, both verbal and written, with an emphasis on phone etiquette and client communication. Bilingual abilities are highly valued to assist diverse client needs. Experience with QuickBooks or similar accounting software is a plus. Demonstrated ability to manage time effectively and prioritize tasks independently.
