Job Description
Overview We are seeking a highly organized Office Administrative Assistant to join our team! In this important role, you will serve as the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff and clients alike. We are seeking someone with flexibility for hours, especially during the tax season months. We are a small local bookkeeping business that is very busy. We are unable to offer the benefits of a big company, but we offer a comfortable work space with flexibility. Responsibilities •Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette. Handle incoming & outgoing calls and texts from office phone, and provide prompt customer support or transfer calls as needed. Maintain organized filing systems, perform data entry tasks & billing, and ensure accurate record keeping using tools like Microsoft Office and QuickBooks. Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff members. Support office management tasks such as ordering supplies, managing inventory, and overseeing general administrative functions. Provide clerical support including photocopying, faxing, mailing, and maintaining a clean, efficient workspace. Skills Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Excellent computer literacy with the ability to quickly adapt to new software tools like QuickBooks and data entry platforms. Strong communication skills including phone etiquette Exceptional time management skills to prioritize tasks effectively in a fast-paced environment. Experience in customer service or customer support roles with a friendly and professional demeanor. Experience in Invoicing and accounts receivable Knowledge of Quickbooks software preferred but not required Maintain organized filing systems, perform data entry tasks & billing, and ensure accurate record keeping using tools like Microsoft Office and QuickBooks.
