Job Description

Join our team as a Secretary in Special Education! This is a part-time position working 20 hours per week. Home to more than 1,600 students, the Pelham School District has three schools and serves Pre-K through 12th grade students. Position:

The Special Education Secretary provides essential administrative support to the special education department, ensuring compliance with federal and state regulations, maintaining confidential student records, and facilitating communication among staff, parents, and external agencies.

Records Management & Compliance

Maintain confidential special education student files in accordance with federal (IDEA, FERPA) and New Hampshire state regulations (Ed 1100 series) Prepare and distribute IEP meeting notices, ensuring 10-day advance notice requirements are met

File evaluation reports, progress reports, and all IEP documentation

Manage incoming and outgoing special education correspondence and records requests

Meeting Coordination & Support

Schedule IEP team meetings, evaluations, and special education-related appointments

Prepare meeting packets and materials for IEP teams, including current records and draft documents

Coordinate with parents, staff, and outside agencies regarding meeting attendance

Maintain meeting calendars (google) and send reminders to team members

Communication & Administrative Support

Answer phones and respond to emails

Support special education staff with copying, filing, and general clerical tasks

All other duties as assigned

Qualifications:

High school diploma or equivalent

Proficiency with Google Suites

Strong organizational skills with exceptional attention to detail

Must maintain strict confidentiality and handle sensitive information

Excellent written and verbal communication skills

Ability to work independently and manage multiple priorities

Preferred Qualifications:

Associate's degree in office administration or related field

Previous experience in a school setting or special education environment

Familiarity with special education terminology, processes, and regulations

Occasional need to lift or move files and materials up to 20 pounds

Flexibility to adjust schedule during peak compliance periods (evaluations, annual reviews)

This is a part-time position working 20 hours per week.
