Basic Function The Administrative Assistant provides clerical and administrative support for Maryville's Substance Use Disorder (SUD) Program within a correctional facility. This role supports the Program Director and staff by maintaining records, preparing documents and reports, coordinating schedules, and helping manage daily office operations. The Administrative Assistant works closely with program and Department of Corrections (DOC) personnel while maintaining the confidentiality of participant information. Prepares and proofreads correspondence, forms, reports, meeting materials, and other program documents. Organizes and maintains accurate participant, staff, and program records in electronic and physical filing systems. Enters data, maintains program logs and databases, and compiles information for reports requested by program leadership or DOC. Coordinates meetings and appointments and communicates professionally with DOC personnel, outside agencies, visitors, and callers. Processes mail, scans and copies documents, and provides general office support to program staff. Orders and tracks supplies, processes purchase requests and invoices, and assists with petty cash and other routine office transactions. Protects confidential information and follows organizational policies and applicable DOC requirements. Assists the Program Director with special projects and other administrative duties as assigned.

M-F, 730am-4pm

$20/hr
QUALIFICATIONS
Required Knowledge, Skills, and Abilities
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage competing priorities and meet deadlines.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Ability to work collaboratively with staff in a secure correctional setting.
- Bilingual Spanish skills are strongly preferred.
Education:
High school diploma or GED is required. An associate's degree or higher is preferred.
Experience:
At least two (2) years of administrative or clerical support experience is required. Experience in healthcare, behavioral health, or a correctional setting is preferred. Experience with recordkeeping, data entry, and office management systems is required.
Sobriety:
If recovering, must have at least two (2) years of continuous sobriety and maintain sobriety throughout employment.
