Job Description

T&M Service Group is seeking a dependable and detail-oriented Office Secretary to join our Facilities Engineering team at the U.S. Coast Guard Training Center (TRACEN) Cape May. In this role, you will serve as the primary point of contact for service and maintenance requests within the Coast Guard Family Housing and base facilities network. You will be responsible for receiving work requests, logging them into the maintenance database, and scheduling tradespeople (plumbers, electricians, HVAC techs) to resolve issues quickly. Key Responsibilities •
Receive Requests:
Answer incoming phone calls and emails from Coast Guard personnel and housing residents regarding maintenance issues. •
Log Work Orders:
Accurately enter service requests into the government/company work order system, assigning proper priority levels (Emergency, Urgent, Routine). •
Dispatch Trades:
Coordinate, schedule, and dispatch maintenance technicians to job sites based on trade specialty and priority. •
Track Progress:
Monitor open service orders to ensure completion within contract-mandated timelines. •
Inventory & Purchasing Support:
Assist the project manager with tracking parts, checking stock, and processing local purchase orders. •
Reporting:
Maintain clean digital files and generate daily/weekly activity reports for the Facilities Engineering branch. Job Requirements •
Education:
High School Diploma or equivalent. •
Experience:
Minimum 1-2 years of experience in dispatching, customer service, property management, or maintenance administration. •
Tech Skills:
Proficiency with Microsoft Office (Word, Excel) and experience using automated work-order/CMMS systems. •
Communication:
Strong communication skills and a professional phone demeanor when dealing with military personnel and families. •
Background Check:
Must have a clean background and be able to pass a federal background check and obtain a base access pass (HSPD-12/CAC credentialing). •
Location:
Must live within a reasonable commuting distance to Cape May, NJ. ---
Pay:
From $20.89 per hour
