This position plays an important role in supporting our accountants and partners while providing excellent service to our clients. We are looking for someone who is comfortable working in a small-office environment, can manage multiple priorities, and takes ownership of getting things done. Responsibilities Answer and direct incoming phone calls and assist with general client inquiries Greet clients and visitors and maintain a professional front-office environment Schedule appointments and coordinate calendars Assemble, scan, copy, and organize tax returns, financial statements, and other client documents Manage electronic client files and upload/download documents through our secure client portal Assist clients with obtaining and submitting documents Prepare correspondence, engagement letters, mailing packages, and other administrative documents Track outstanding client information and follow up with clients as needed Assist with tax-season workflow, including monitoring return status and coordinating signatures and delivery Process incoming and outgoing mail Maintain organized electronic and physical records Assist with billing and other basic bookkeeping/administrative functions Provide general administrative support to partners and professional staff Handle sensitive client and financial information with a high level of confidentiality Assist with special projects and other office responsibilities as needed Qualifications Prior administrative or office experience preferred Experience in an accounting, tax, legal, financial services, or other professional-services office is a plus Strong organizational skills and attention to detail Professional and friendly communication skills Comfortable speaking with clients by phone and email Ability to prioritize multiple assignments and meet deadlines Proficiency with Microsoft Outlook, Word, and Excel Comfortable learning new software and working with electronic document-management systems Dependable, proactive, and willing to help wherever needed Ability to work effectively in a small, team-oriented office What We're Looking For An ideal candidate notices what needs to be done, follows through without constant supervision, communicates well with clients and coworkers, and stays organized during our busiest times of the year.
