full-time About the Role ? We are seeking a highly organized, detail-oriented Administrative Assistant to support a growing financial services practice. This role is ideal for someone who takes pride in accuracy, professionalism, and client service, and who enjoys being a reliable, trusted part of a small team. This position plays a critical role in ensuring smooth daily operations, exceptional client experience, and efficient processing of new and existing business. This would be an in-office position in South Plainfield, NJ. Key Responsibilities Client & Office Support Serve as primary administrative and client support, including appointment confirmations, email responses, and welcoming clients Prepare conference rooms and assist with day?of appointment logistics Compile, complete, and submit new business and service paperwork Track pending business and follow up with custodians and back?office teams Manage DocuSign entries, form submissions, and processing through completion Maintain accurate records of paperwork, checks, and outgoing items Handle scanning, faxing, mailing/UPS shipments, and general office organization Maintain database/CRM accuracy and support ongoing recordkeeping Adapt to changing priorities and provide flexible administrative support as needed Qualifications & Skills Bilingual preferred Strong attention to detail and commitment to accuracy Excellent organizational and time-management skills Knowledge of Microsoft Office applications Ability to multitask and manage multiple priorities efficiently Ability to meet deadlines consistently Warm, professional communication style (especially on the phone) Comfortable working independently and taking ownership of tasks Financial services experience is highly preferred but not required
