Job Description
Job Summary We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include organizing and maintaining filing systems for important company documents and writing correspondence. The ideal candidate is highly organized, dependable, proactive, with excellent written and verbal communication skills and a friendly demeanor. Responsibilities Answer incoming phone calls and route them to the appropriate person Schedule appointments and maintain a calendar Organize and maintain filing systems for important company documents, including quotations, sales orders, customer records, vendor records, purchase orders, packing lists, invoices, and payment records Write emails, memos, and letters and distribute them appropriately Contribute to company reports Manage office supply inventory and place orders for stationery, materials, and other business needs. Support general office management functions and ensure administrative processes are efficient, accurate, and well-documented. Communicate professionally with internal team members, customers, vendors, and service providers. Assist with client appreciation and office culture initiatives, including holiday cards and seasonal office decorating. Qualifications High school diploma/GED required, Associate's degree or administrative training is preferred Previous experience as an Administrative Assistant or in a similar position Familiarity with standard office equipment such as printers and fax machines Excellent computer skills and knowledge of Microsoft Office Suite, including Microsoft Word and Outlook Working knowledge of QuickBooks, bookkeeping, or accounts payable administration is a plus Highly organized with excellent time management skills and the ability to prioritize projects Benefits/Perks Competitive Compensation Paid Time Off Health, Dental, & Vision insurance 401K Retirement plan Professional Work Environment
