Administrative AssistantOverview OptimumProp is seeking a highly organized, dependable, and proactive Administrative Assistant to support our day-to-day office and real estate operations. This role will provide administrative support across multiple functions, assist with real estate documentation and recordkeeping, and work cross-functionally with internal teams to help keep projects and daily operations organized and moving forward. The ideal candidate is detail-oriented, comfortable managing multiple priorities, and confident communicating with employees, vendors, clients, and other external contacts. Responsibilities Provide day-to-day administrative support to the OptimumProp team and assist with general office operations. Assist with the preparation, organization, tracking, and maintenance of real estate-related documents, records, agreements, and property files . Work cross-functionally with leadership and internal departments to coordinate information, documentation, deadlines, and administrative needs. Maintain accurate electronic and physical files and ensure important documents are properly organized and easily accessible. Perform data entry and maintain spreadsheets, trackers, reports, and other internal records. Coordinate meetings, appointments, conference rooms, and calendars as needed. Assist with tracking deadlines, follow-ups, outstanding documentation, and action items. Communicate with vendors, contractors, property contacts, clients, and other external parties in a professional and timely manner. Answer and direct incoming phone calls and respond to general inquiries. Greet visitors and help maintain a professional and welcoming office environment. Prepare and format correspondence, reports, presentations, and other business documents. Assist with office management responsibilities, including ordering supplies, coordinating deliveries, and supporting general administrative needs. Help identify opportunities to improve administrative processes, organization, and overall office efficiency. Perform additional administrative and project-based responsibilities as needed. Qualifications Previous administrative, clerical, office management, or related professional experience preferred. Experience in real estate, property management, construction, legal documentation, or a related industry is a plus , but not required. Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint . Strong computer skills and ability to learn new systems and software quickly. Excellent organizational and time-management skills with strong attention to detail. Ability to manage multiple priorities, deadlines, and requests in a fast-paced environment. Strong written and verbal communication skills. Professional and comfortable communicating with employees at all levels as well as vendors and external partners. Ability to handle business documents and confidential information with discretion. Strong follow-through and a proactive approach to identifying and completing tasks. Ability to work independently while also collaborating effectively across teams.
