Job Description

Job Summary We are seeking a motivated, organized and professional Office Administrator/Administrative Assistant to join our team. We are an established tax and accounting practice in Fort lee, NJ, and in this vital role, you will serve as the backbone of daily office operations, ensuring a smooth and efficient workflow. Your energetic approach and attention to detail will help foster a professional environment that supports our team's success. The ideal candidate is proactive, highly organized, and possesses excellent written and spoken communication skills, with the ability to manage multiple tasks seamlessly in this fast-paced environment that revolves around constant deadlines. Responsibilities
  • Serve as a professional and friendly point of contact for clients, primarily through email and telephone
  • Receive, organize, scan, and electronically file client tax documents
  • Use Adobe Acrobat to organize, combine, edit, password protect and manage PDF documents
  • Assist with the administrative preparation and processing of tax returns
  • Track client documents and outstanding items
  • Coordinate appointments and maintain office calendars
  • Prepare and send emails, correspondence, and client requests
  • Maintain organized electronic and paper files
  • Assist with tax-season workflow and deadlines
  • Perform general office administration and support the tax professionals as needed Qualifications
  • Previous administrative or office experience required
  • Excellent organizational and follow-up skills
  • Strong written and verbal communication skills
  • Professional and pleasant manner when communicating with clients
  • Strong attention to detail and ability to handle confidential information
  • Comfortable working with computers and learning new software
  • Proficiency with Microsoft Office and Adobe Acrobat/PDF documents
  • Previous experience in a tax, accounting, legal, or other professional office is a plus but required Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in various office applications Strong organizational skills with the ability to prioritize tasks effectively Excellent phone etiquette and communication skills for client interaction and internal collaboration Previous office experience or administrative experience demonstrating reliability and multitasking capabilities Data entry accuracy combined with attention to detail in proofreading documents Ability to handle confidential information responsibly while maintaining professionalism Strong time management skills to meet deadlines efficiently Personal assistant experience or familiarity with office management enhances your suitability for this role Join us in creating a positive and productive work environment where your organizational talents can shine!
